Our Approach to Responsible Ai

At Meira, we see Ai as a powerful tool, not a substitute for strategic thinking. Our Ai Charter outlines how we use artificial intelligence thoughtfully and ethically, in service of our clients and our values.

Our Guiding Principles

  • Ai is used to enhance the quality, speed, and impact of our work - not to replace expertise or diminish our standards. We pair Ai capabilities with human judgment to deliver thoughtful, high-integrity outcomes.

  • MEIRA will never input sensitive or identifiable client data into public Ai models. Only secure, vetted platforms may be used, and only within clearly defined boundaries. 

  • We are transparent with clients about how Ai is used in our work. Internally, we ensure team members understand and can explain Ai-assisted outputs. We also seek opportunities to educate clients on how Ai tools can be safely and effectively applied in their own organizations. 

  • Ai use must reflect MEIRA’s ethical commitment to equity and fairness. We actively monitor outputs for bias, particularly when used in analysis or recommendations that may influence decisions.

  • Ai tools are used thoughtfully - never as shortcuts. All applications of Ai must align with MEIRA’s values: learn, teach, act with integrity, and leave our ego at the door. 

  • We will lead, learn, or lag in Ai adoption based on what best serves our clients and our mission. Innovation is encouraged, but always guided by informed, intentional practice. 

Use Guidelines

    • Automating repetitive and administrative workflows 

    • Integrating internal applications

    • Brainstorming and ideation support 

    • Drafting first-pass content (e.g., reports, proposals, updates)

    • Inputting sensitive, personal, or identifiable client data into public models 

    • Using Ai-generated content as final deliverables 

    • Using unapproved or unvetted Ai tools 

Tooling & Access

  • All new Ai tools must be reviewed for compliance with MEIRA’s security, privacy, and ethical standards

  • Ai prompt libraries, microlearning sessions, and internal workshops support team development and responsible experimentation

Governance & Accountability

  • The Ai & Innovation Working Group ensures alignment, monitors risks, and evolves this Charter as tools and standards shift.

  • Weekly Monday meetings include “Ai Wins & Lessons” to encourage safe, shared learning.

  • MEIRA’s contracts, employment agreements, and client terms are being updated to reflect responsible Ai use. 

  • Ai readiness assessments and governance workshops are available to help clients adopt AI with integrity. 

OECD Alignment

Meira’s Charter is built in alignment with the OECD Principles on Ai, including: 

  • Human-centered values & fairness 

  • Sustainable, inclusive innovation 

  • Transparency & accountability 

  • Robustness & security 

We also incorporate guidance from Canadian institutions such as CIFAR,
the Montreal AI Ethics Institute, and the Digital Governance Council
